How to Print from Airtable: Records, Views and Interfaces

Every way to print from Airtable and when to use each: print a view, print records from an interface, use Page Designer, or generate PDFs automatically.

Airtable gives you four ways to print: print a view, print an interface page, print a batch of records from an interface, and design a printable layout with the Page Designer extension. The right one depends on what you want on paper.

Which method to use

You want to print Use Good to know
A list of records Print view Follows the view's filters, sorting, grouping and hidden fields
One record An interface record page Ctrl+P or Cmd+P on the published interface
Many records, one per page "Print all records" in an interface Up to 100 records at a time
Records in your own layout Page Designer extension Invoices, labels, certificates
A PDF for every record, automatically A document tool such as FlexiPage Runs from an Airtable automation

To save any of these as a PDF instead of printing, choose Save as PDF as the destination in your browser's print dialog.

Printing a view prints the records exactly as the view shows them, so set the view up first.

  1. Open the view you want to print. Hide the fields you don't need, and set your filters, sorting and grouping.
  2. Click the arrow next to the view's name and choose Print view.
  3. In the print dialog, pick a printer, or choose Save as PDF.

Wide grids fit better in landscape. Gantt views can't be printed directly: download the view as a CSV or use Page Designer instead.

Need your own layout instead of a grid, like a product catalog or a price list? FlexiPage's Looper goes through a table and view and repeats a section you design for each record. See how to print Airtable views with FlexiPage.

The most reliable way to print one record is from its page in an interface.

  1. Open the record's detail page in the published interface. Printing isn't available while you edit an interface.
  2. Press Ctrl+P (Windows) or Cmd+P (Mac), or open the ... menu at the top right and choose Print this page.

Interface printing works for list, timeline, calendar, record detail and chart elements. It isn't available in Airtable's mobile apps.

An interface can print a whole list of records, one record detail page each.

  1. In the interface editor, select the grid or list element and turn on Click into record details. Printing all records builds one record detail page per record, so the element needs one.
  2. Publish the interface.
  3. In the published interface, open the element's ... menu and choose Print all records.

If the option shows but can't be selected, the element contains more than 100 records. Filter it down to 100 or fewer and try again.

Want the records together in a layout you design, rather than one detail page each? A FlexiPage Looper repeats your section for every record in a table or view, up to 10,000 records. See how to print Airtable views with FlexiPage.

Page Designer is an Airtable extension for printable layouts such as invoices, labels and certificates. It's available on Airtable's paid plans.

  1. Add the Page designer extension to your base and choose the table to print from.
  2. Drag fields onto the page and arrange them.
  3. Click Print, then pick a printer or Save as PDF.

Airtable's help pages disagree on whether you can print every record in a view in one go, so test it with your base before you rely on it. Page Designer pulls live values, so a layout that fits one record can overflow on another. To fit a long record across two pages, set the record size to custom, double its height, and print on Letter paper.

Limits of printing from Airtable

  • Every printout is manual. Someone has to open Airtable and print, every time.
  • Views print as a grid. You can't add your own headings, notes or totals to a printed view.
  • Batches stop at 100 records when you print from an interface.
  • PDFs don't go back to the record. If the file should live in an attachment field, you upload it yourself.

Generate PDFs automatically with FlexiPage

When the same document goes out again and again, like invoices, work orders or status reports, FlexiPage creates the PDFs for you:

  • Design the template once in a visual editor: your layout, multi-page documents, and tables built from linked records.
  • Generate on demand from the FlexiPage extension in your base: select a record and download its PDF.
  • Or automatically: paste our script into an Airtable automation, and each PDF is saved to an attachment field on the record.

FAQ

How do I save an Airtable view as a PDF?

Choose Print view from the view's menu, then pick Save as PDF as the destination in the print dialog.

Can I print a whole Airtable base?

No. Print or export each table's views one at a time.

Why is my Airtable printout cut off?

Long records can run past one page. Hide fields you don't need and switch to landscape, or use Page Designer with a taller custom record size.

Can I print from the Airtable mobile app?

No. Use Airtable in a browser or the desktop app to print.

Create Airtable PDFs automatically

Design a document once in FlexiPage, then generate it for every record from an Airtable automation, saved back to the record.
